All items arriving at Cofinal go through quality control. Receiving and quality control are completed no later than one weekday after arrival.

How does quality control work?

We split quality control into four levels, by how thoroughly each item is checked:

  1. External check of the items on the pallet. The coarsest check, and where most errors can hide: wrong parcels (the supplier parcels), missing pieces in a parcel, wrong pieces in a parcel, faults on the product itself.
  2. External check of each parcel. Wrong SKUs (item numbers) in the parcel, missing pieces if the parcel is not weighed, and faults on the product itself.
  3. External check of each piece. Faults on the product itself.
  4. Check of the item unpacked. Most faults can be found here, but it is also the most expensive check.

When your items arrive from your supplier, we check them one piece at a time externally: level 3. Each item is scanned, and we check the sales packaging for damage. Receiving and quality control are completed no later than one weekday after arrival.

Each item is also weighed: the first time an item passes control, we save the measure as its reference weight. On later receivings the new weight is compared to the reference. If it deviates more than 10 percent, the deviation is flagged so the item is reviewed before it is put in stock.

For returns, control goes one step deeper: there we check the item unpacked, level 4.

What happens if an item arrives damaged?

If we spot damage on an item during quality control, we photograph it. The item is put in stock with status QC. You see the photos in the portal under Assess item and choose yourself whether the item is in good condition or should stand as damaged.

In Assess item you see a photo of the damage and choose whether the item is in good condition or should stand as damaged. With Skip you save it for later.

If a pallet or parcel arrives with visible damage, we photograph the damage and the shipping label before the goods are counted. The photos follow the shipment in your receiving report.

What do I do with items that arrive damaged?

You can contact your supplier and ask for a claim. The item stays registered as damaged until you decide otherwise, so it is not sent to your customers.

Your message should contain:

  • The reference number of your order with the supplier
  • Information identifying the damaged item
  • A description of the damage and photos as proof
  • Your wish: replacement or compensation

Suppliers often give very short time to report shipping damage. So complain immediately after receiving. A claim can look like this:

Hi [supplier].
We received order [order number] on [date]. [quantity] pcs. of [product name] arrived with damage to the sales packaging: [short damage description]. Photos attached.
We want [replacement / compensation] for the damaged items.
Kind regards
[name], [company]

How often can one expect damage to my items?

Not often, but often enough that the process must be ready. At a warehouse with many daily deliveries it is part of everyday life. How often it happens to your items depends on the items and the supplier.
