An inbound shipment tells Cofinal which items are on their way to the warehouse, and how the shipment is recognised.

Your first inbound shipment may be small: send a subset, see the whole flow, and send more in the next inbound shipment.

1. When you order from the supplier

After you have ordered your items:

  1. Create a draft for the inbound shipment.
  2. Add all the order items and quantities from a list of your products in Shopify.
  3. Fill in barcode for all items, if you have not already filled them in in Shopify.
Pick the items from your Shopify store in the product picker.

The barcode must sit clearly on the sales packaging so we can scan it. There is no requirement for the type: EAN, UPC and homeprinted barcodes work. QR codes are not supported yet. We recommend the barcode be unique across your product catalog, but it is not strictly necessary.

Item dimensions must not exceed 36 × 26 × 26 cm, and weight must not exceed 4.5 kg.

Product requirements
Fill in barcode and quantity for each item.

You can edit your inbound shipment until it is received.

2. Once the supplier has shipped the order

Once the order has shipped and you have been told the tracking information, add tracking number and carrier to your inbound shipment in the dashboard. That is how we recognise your shipment.

  1. Open the inbound shipment in the dashboard.
  2. Add tracking number and carrier for each parcel.

Your inbound shipment is now marked active. Your items get their stock updated, so the expected quantity shows as 'incoming' in Shopify.

Tracking number and carrier must be added before the inbound shipment can be received and the items put in stock.

Add tracking number and carrier for each parcel once the supplier has shipped the order.

3. After arrival

Once your items have arrived, we receive them and each item goes through quality control. If a product is damaged, we take a photo and you judge whether the item is ready for sale or damaged in the dashboard. Once quality control is done, the receiving report is ready for you to review. Items are available for sale no later than one weekday after arrival.

Quality control
The receiving report shows expected and received quantity per item, and damage is documented with photos.

FAQ

Does receiving cost anything?

No, receiving is free of charge. See Prices.

Does each tracking number need its own inbound shipment?

No, you can add many tracking numbers to the same inbound shipment. Each purchase order should have its own inbound shipment.

Do you receive containers?

No, we do not receive containers.

Do the parcels or pallets I send need special marking?

No, they need no special marking. Each loose parcel and each pallet needs its own shipping label.

Do you receive pallets?

Only by agreement. Write and get approval from us before sending pallets.

Who pays freight and customs on the shipment to Cofinal?

Not Cofinal. We are not the importer and pay neither freight, customs nor duties on your purchases. Your supplier must send Delivered Duty Paid (DDP: the supplier pays customs and duties, so the shipment arrives cleared).
